Privacy Policy
This Privacy Policy explains how Keel (“Keel”, “the extension”, “we”), an extension for Zoho CRM published by TALONOID Technologies, handles information when you install and use it. By installing Keel you agree to this policy.
1. Summary
- Keel's core features — data-health scoring, duplicate detection and merge, field standardization, and email/phone validation — run inside your Zoho CRM against your own records.
- We do not sell, rent or share your CRM records with third parties.
- We do not build marketing profiles from your data.
2. Information Keel accesses
To do its job, Keel reads and (when you act) updates records in the Zoho CRM modules you choose to scan — at launch: Leads, Contacts and Accounts. This includes fields such as names, email addresses, phone numbers, company/account names, websites, countries and record timestamps. Keel accesses this data only within your authenticated Zoho CRM session and only to:
- calculate your data-health score and issue lists;
- detect duplicate records and, on your instruction, merge them;
- validate email addresses and phone numbers and report a confidence score and reason;
- propose and, on your instruction, apply field standardizations.
3. Where processing happens
The core engines execute in the browser widget and via Zoho's own APIs inside your CRM environment. Keel does not copy your full CRM database to our servers.
4. Optional metered features (enrichment & live verification)
Future paid features (e.g. live email-deliverability checks and firmographic enrichment) require sending a single field — for example one email address or one company domain — to a third-party data provider to return a result. When such a feature is used:
- only the specific value being checked is transmitted, never your wider record or database;
- the action is disclosed in the app before you use it;
- we may cache the result briefly to avoid repeat charges;
- providers are bound by their own privacy terms and by a data-processing agreement with us.
These features are off by default and are not part of the free plan.
5. Account & billing data
Subscriptions are sold and billed through the Zoho Marketplace. Zoho processes your payment and account details under Zoho's privacy policy; we receive only the subscription/entitlement status needed to enable paid features and, where applicable, a metered-usage count.
6. Diagnostic data
We may collect limited, non-identifying technical logs (e.g. error events and feature-usage counts) to keep Keel reliable. We do not include your customers' personal data in these logs.
7. Data retention
We do not retain your CRM records. Configuration you set (such as your duplicate-match threshold) is stored in your Zoho environment. Any short-lived caches for metered checks expire automatically.
8. Your rights (GDPR / PDPA and similar)
Because your CRM records remain under your control in Zoho CRM, you can access, correct, export or delete them directly in Zoho at any time. For questions about Keel's processing, or to exercise rights regarding any diagnostic data we hold, contact us using the details below.
9. Sub-processors
We use Zoho (platform and billing) and, for optional metered features only, the third-party validation/enrichment provider(s) disclosed in-app at the time the feature is used. A current list is available on request.
10. Security
We use industry-standard measures to protect any data we do handle, including encrypted transport (HTTPS) and least-privilege access. No method of transmission or storage is perfectly secure, but we work to protect your information.
11. Children
Keel is a business tool and is not directed at children under 16.
12. Changes
We may update this policy; material changes will be reflected here with a new “last updated” date.
